Human Resources Generalist

Summary: The Human Resource Generalist is responsible for a wide range of critical HR functions.  Working closely with the Chief Financial Officer, this new position will support the day-to-day operations as well as executing projects, implementing new technology and systems, and supporting the strategic planning process for personnel matters.  

The HR Generalist is a detail-oriented people person who is both analytical and empathetic.  The HR Generalist must be a planner who is proactive but also flexible and able to shift priorities to handle demanding situations while balancing daily operational needs. A high level of professionalism and confidentiality is essential, and the successful candidate must be able to remain composed and effective in dynamic and challenging situations.

This exempt role reports to the Chief Financial Officer and works on-site from 8 AM – 4:30 PM as a key member of the Business Office Team to promote the strategic initiative of making Davidson Day School a “Great Place to Work” for our employees.  Davidson Day School has approximately 100 full-time employees and an additional 50 part-time and seasonal employees.  For more information about the school, please visit our website at www.davidsonday.org

Essential Functions:

HR Lifecycle:
  • Coordinate recruitment, including drafting job descriptions, managing position postings, scheduling interviews, conducting initial screenings, performing reference checks, and supporting the hiring manager or hiring team throughout the recruitment process.
  • Collaborate with the marketing office to develop polished onboarding materials. 
  • Support the hiring manager or hiring team with conducting thorough and objective interviews to evaluate a candidate’s qualifications and skills.
  • Process employee on-boarding and off-boarding forms and procedures.  
  • Maintain on-going employee screenings in accordance with policy. 
  • Manage compliance with the volunteer policy and process volunteer on-boarding. 
  • Create and maintain employee job descriptions to ensure that each position has a current job description on file which is reviewed annually.
  • Maintain accurate employee records, including staff files, HRIS data, and other HR documentation. 
  • Support orientations, the mentor program and the annual evaluation process.  
  • Support supervisors with performance management and disciplinary actions as a critical thought partner.
  • Compile market analysis for compensation and benefits for all positions annually based on available market data.  
  • Prepare annual employment and stipend agreements for employees.
  • Collaborate with the Chief Financial Officer to annually evaluate benefit plan options and enhancements.  Coordinate annual open enrollment and benefit election process.  
  • Support the Chief Financial Officer in the administration of the 401(K) Plan.  
  • Manage worker’s compensation and disability claims.
  • Manage employee requests for leave or accommodations in compliance with legal requirements and best practices.  
  • Coordinate employee recognition awards and events.  
  • Develop and maintain an employee training program that includes training on compliance, professional development, and HR processes and best practices. 
HRIS:
  • Manage the HRIS system and identify opportunities to fully utilize its capabilities.
  • Implement the on-boarding module within the current HRIS and update time-tracking systems.
Compliance, Policies, and Reporting: 
  • Create and regularly update an HR dashboard with key performance indicators.
  • Collaborate with the Chief Financial Officer and Head of School to annually update the Employee Handbook with policies that reflect best practices for independent schools. 
  • Develop and document consistent HR processes, tools, forms, and controls.
  • Serve as the initial point-of-contact for employee reports and complaints.  Engage the Chief Financial Officer, Head of School, and supervisors in resolution of these matters.  Document these matters throughout the process in a thorough and consistent manner. 
  • Manage any investigations with the support and direction of the Chief Financial Officer and Head of School.  
  • Identify, research, and recommend process and system improvements to increase efficiencies and enhance the employee experience within the HR area.  
  • Stay current with knowledge of HR, employment law, and independent school personnel issues and best practices by attending professional development and reading available resources.
Core Competencies:
  • Resourceful with a solid understanding of HR principles and best practices.
  • Proficient with technology, including MS Office and Google Suite. 
  • Ability to maintain strict confidentiality and handle sensitive information with discretion.
  • Strong organizational skills, attention to detail, and initiative.  
  • Motivated, flexible, and collaborative with strong team-oriented skills.
  • Capable of prioritizing and managing multiple tasks and projects simultaneously.
  • Comfortable in a fast-paced environment.
Required Education and Experience:
  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Minimum of 5 years of proven success working in an HR department.  
  • HR certification would be a plus. 
  • Experience with Paylocity would be a plus.
